CofC: Seeks Director of HSS Marketing and Communications and Assistant to the Dean

Position Description:  Plans, coordinates, and performs complex administrative, marketing, business and data management activities for the Dean’s Office and the School of Humanities and Social Science (HSS), the largest School at the College comprised of 160 tenure track faculty members, 100 adjunct appointment, 8 departments, 11 majors, 8 graduate programs and 25 minors.

Minimum RequirementsBachelor’s degree and 2-4 years of high level administrative experience and/or communications experience writing for diverse audiences. Candidates with an equivalent combination of experience and/or education are encouraged to apply.

Required Knowledge, Skills, and Abilities:  Proficiency in MS Office Suite (Word, Excel, PowerPoint, Access, Outlook), Adobe Creative Suite, web page authoring/ web site maintenance and social media tools. Familiarity with Raiser’s Edge software. Exceptional oral and written communication skills, especially when using electronic media. Strong organizational and project management skills, attention to detail, and the ability to maintain effective working relationships with faculty, staff, students, and the general public in a complex working environment. Ability to grow with the position and accept progressive responsibility. Ability to train, supervise, and evaluate student employees. Must be able to work ethically with highly confidential information. Knowledge of FERPA regulations is essential. Photography experience preferred, but not required.

Job Duties: 

  • 30%: Gathers, promotes and publicizes School news and events utilizing various media resources. Develops, designs and maintains HSS web pages, Facebook/Linked In/Blog sites, multi-media presentations and ListServs. Trains and assists faculty and staff within the School on creating & maintaining social media for their departments, programs (graduate & undergraduate), events and publications; troubleshoots problems, as needed. Researches and creates promotional materials for 11 majors, 28 minors, and 8 graduate programs for recruitment and retention purposes. Ensures compliance with College branding standards. Coordinates with Marketing and Communications in producing communication pieces, invitations, press releases, etc. Works closely with Institutional Advancement to facilitate opportunities for potential donors and assists with donor stewardship. Uses fundraising database (Raiser’s Edge) to prepare, interpret, and disseminate financial (gift) reports. Plans, sets, and creates agenda for two-day Dean’s Council meetings twice a year. Cultivate relationships with Dean’s Council members, who include various community leaders, business owners, alumni, and donors. Regularly disseminate information to members throughout the year. Assist with fundraising. Creates informative packets for the Office of the President for legislatures’ and Trustee visits, as requested.
  • 20%: Organizes and manages all events and special projects directly involving the HSS Dean’s Office. Negotiate terms and oversee vendors for approximately 40 events annually, ranging from 20-1000 attendees. Schedules, coordinates and develops activities, events and maintains calendars for Dean and Associate Dean of HSS. Sets agenda and plans on-going meetings. Schedules presenters. Confirms appointments and ensures the Dean has materials and information pertinent to meetings. Manages Dean’s correspondence, especially with external constituencies. Conducts complex special assignments and confidential investigations/analysis, as requested. Serves as Dean’s liaison with administrative offices, academic departments/schools, committees, students, alumni and donors.
  • 20%: Manages complex administrative functions in the Dean’s Office. Reviews, prioritizes and refers issues for resolution as appropriate. Ensures requests for information are completed accurately and promptly. Compiles information and prepares correspondence, forms and reports for the School. Creates and maintains well-organized, paperless filing systems for School documentation, including confidential student, faculty & personnel records, in accordance with College policies and FERPA privacy regulations. Works with the Registrar’s Office to establish classroom schedules and school functions. Maintains 5 conference rooms and eight labs and classrooms. Help schedule 5 classrooms spaces for vital classes in eight departments within the School. Makes recommendations for purchases to upgrade and maintain spaces. Works with the Associate Dean in managing the Center for Social Science Research (CSSR). CSSR management requires scheduling of rooms, coordinating extensive software needs which include monitoring changing technologies and making recommendations for purchases, updates with IT and general technology and supply maintenance.
  • 10%: Collects and maintains a variety of databases and spreadsheets, including School, faculty, alumni and student information/measurements. Uses comparative analytics and statistics to design complex reports, tables and data visuals for Dean. Uses data to assist Dean in preparing the School’s Annual Report and determining short & long range plans and projections. Prepares presentations for the dean and provides supplemental presentation materials.
  • 10%: Coordinates the recruitment and hiring processes for faculty reporting to the Dean’s Office, including campus visits, interview and presentation schedules & locations, committee meetings and visitor packets. Collects and organizes data for faculty T&P, Post-Tenure Review, Third-Year Review, merit reviews and annual evaluations. Organizes sabbatical proposals, rankings and distribution of information for committees. Creates, maintains and distributes academic performance letters from the dean to students. Edits, formats and ensures delivery of numerous grant proposals for School.
  • 5%: Assesses, recommends and implements office processes and policies. Interprets CofC policy and ensures compliance with academic policies. Leads and works with HSS committees; monitors committee projects, deadlines and adherence to applicable rules and regulations. Attends trainings for changes in vital College-wide policy and procedures.
  • 5%: Hires, trains, evaluates, and supervises student workers. Provides guidance and develops skills which equip students for future employment.
