OAKS and Banner Classlist Update

IT has been actively working to correct the synchronization issues between Banner and OAKS cross-listed courses (combining multiple sections of the same course into one OAKS shell). Thorough testing between Information Technology and the Registrar’s Office yielded successful results between Banner and OAKS Version 10.3. OAKS will be upgraded to Version 10.3 on May 9th. We highly encourage faculty to submit your cross-listing requests before any type of student work is completed in the course. As you know, ALL STUDENT work/grades will be LOST during the cross-listing process. Cross-listing requests can take up to 3 business days to process so please plan accordingly. OAKS Scheduled Maintenance

IMPACT: OAKS will be unavailable during the upgrade for all faculty, staff, and students. OAKS will be completely  inaccessible during this time. Please plan accordingly.

TIME: OAKS will be unavailable during the entire day on May 9, 2014

OVERVIEW:

On May 9th, OAKS will be unavailable while it undergoes an upgrade to version 10.3. This upgrade will bring increased functionality to several of the tools you use most, such as Content, Discussions and Dropbox. Since version 10.3 will offer new features, Teaching, Learning and Technology is offering faculty a variety of informational sessions to attend in April 2014. OAKS Open House

New OAKS Integrations

NBC Learn and VoiceThread are now integrated with OAKS!

VoiceThread Integration

VoiceThread is an online digital storytelling program that allows users to upload pictures or presentations then add a voice or video recording as commentary. The College has recently procured a university site license that is now integrated with OAKS. This license brings with it several benefits:

  • All users can now access VoiceThread directly from within OAKS.
  • Faculty and students will be given upgraded accounts which will remove the 5 VoiceThread restriction of the free version.
  • Users will receive an unlimited number of export credits.
  • Users will receive an unlimited number of phone commenting minutes.

VoiceThread can be easily accessed through any OAKS course homepage by clicking on the “Access VoiceThread for this Course” link from the Multimedia Resources widget.

NBC Learn Integration

NBC Learn is a digital media library resource created by NBC to which the College now has a subscription. NBC Learn has archived more than 12,000 stories from NBC media outlets and are available for viewing by faculty, staff, and students at the College.

NBC Learn is also available in two versions:

  • NBC Learn Higher Ed: media curated for use in a higher ed environment.
  • NBC Learn K12: media curated for use in a K12 environment and is tied to state standards. In some cases lesson plans are also attached.

OAKS and Chrome Compatibility Issues

There is a known compatibility issue with OAKS and Google Chrome versions 32 and 33 (beta).  With Google Chrome versions 32 and 33 (beta), pop-up windows are not working properly within OAKS.  These pop-up windows are used frequently throughout the system.  The common behavior is that a window will display “Loading….”, but then times out to a blank window.  If you experience these issues, we recommend that you try another web browser such as Firefox, Safari or Internet Explorer.  Desire2Learn is looking into the issue, however, they do not currently have a time frame for a resolution.

There is an known synchronization issue between the Banner class list and the OAKS class list that occurs during the Drop/Add period. This may result in a student’s record not being updated properly in OAKS.  The synchronization process between OAKS and Banner has a 99% success rate — as a result a very small number of users may have experienced this issue.  It is very important to IT that we find a solution.  Internally, we have developed a short term solution that we hope to implement before the start of our Spring 2014 semester. We are also working diligently with our Vendors to find a long term solution.  IT will keep the campus updated with progress.

Synchronization Issues between OAKS and Banner

Discrepancies between your Banner course roll and your OAKS course classlist/roll will be resolved overnight (1/10-1/11). All synchronization issues should be fixed tomorrow, Friday, January 11th.  With the help of IT Networking, no downtime will be required.

Requests such as cross-listing courses, enrolling instructors/fake students/etc., or enrollments in non-Banner (special or DEV) courses still need to be reported to the helpdesk for resolution. Please remember to include course numbers in your requests.
