OAKS Synchronization Issue

College of Charleston’s OAKS Learning Management System is experiencing a technical difficulty at this time. There is a synchronization issue between OAKS and MyCharleston (Banner). We are currently working with the vendor to correct it. If you notice any discrepancies in OAKS such as a course not being displayed properly or incorrect class lists, please know that IT is working with the vendor to find a solution.

We understand that it is a busy time for OAKS and we’re working diligently to fix the issue. We will keep the campus informed of our progress.

OAKS Intermittent Login Issues

The College of Charleston’s OAKS (Learning Management System) is experiencing intermittent login issues. Information Technology is aware of the situation and working to restore service. Because the issues are intermittent, it’s best to wait a few minutes and try to login again. If you continue to experience these issues, please report them to the Helpdesk at 843-953-3375 or by emailing Helpdesk@cofc.edu.

Critical Microsoft Security Update

SERVICE: Critical Microsoft Security Update

IMPACT: IT will be applying a critical Microsoft security patch on servers that will affect the applications listed below.  These applications will experience intermittent disruptions in service.

DATE: Saturday, April 18, 2015

TIME: 8:00 AM thru 12:00 PM

OVERVIEW: A critical Microsoft remote exploit security patch (MS15-034) has been released and will be applied to affected Information Technology Production servers this Saturday, April 18th, from 8:00 AM until 12:00 PM to help protect against potential security vulnerabilities. The following applications will experience intermittent disruptions in service during this maintenance window:

  • OAKS (Interruptions with OAKS will be very brief, so if you experience a problem with access, please wait a minute and log in again.)
  • Advisor Scheduler
  • ListServ
  • Parking
  • StarRez
  • R25
  • Lab Stats

New Course Display Feature in OAKS

A new feature is available in the OAKS My Courses widget that will make it easier to access your courses. You can now display courses by specific semesters, such as Spring 2015, and by your role (Instructor, Content Assistant, Student, etc). As a result, you’ll be able to find your current courses more quickly and easily. Please see screenshots below for examples of the new feature (note:  this feature will display differently depending on the number of semesters you have taught, thus there are two sets of screenshots below).  If you have any questions, please contact tlt@cofc.edu.

OAKS Maintenance

IMPACT: Access to OAKS will be unavailable during this maintenance window.

The College of Charleston’s Learning Management System, OAKS, is the ‘integrated learning platform’ provided by Desire2Learn. During the Desire2Learn user’s conference this summer, D2L announced that the LMS has a new name: Brightspace. Even though we’ll still refer to it as OAKS on campus, please be aware that text book publishers may use Brightspace and Desire2Learn (D2L) interchangeably. OAKS Synchronization Issue Resolved

The synchronization issue between the Banner class list and the OAKS class list has been resolved. If you experience a discrepancy between your OAKS and Banner class list, please contact the IT Helpdesk at 843-953-3375 or helpdesk@cofc.edu.

IT is investigating a possible synchronization issue between the Banner class list and the OAKS class list. If you experience a discrepancy between your OAKS and Banner class list, please contact the IT Helpdesk at 843-953-3375 or helpdesk@cofc.edu. IT will be closely monitoring any OAKS related Helpdesk tickets to verify if a pattern is evident.

Faculty can also use the online form to request that a student be added or removed from your OAKS class through the following steps:

If students do not have access to a particular course, please instruct them to contact the IT Helpdesk at 843-953-3375 or helpdesk@cofc.edu. Students will also be notified by IT.

OAKS Service Disruption Analysis

Moving forward, Information Technology will publish an analysis describing each high-impact unscheduled service disruption. The breakdown will be published to the campus in an effort to increase transparency and accountability, and provide insights into our information technology environment. Each analysis will provide a summary of the incident, describe the cause, and outline the steps that IT will take to help prevent a future recurrence. We welcome your feedback to help streamline the information that is most useful to you. April 29, 2014 OAKS Service Disruption Analysis

Summary: At 8:56 p.m., OAKS (learning management system) web servers started to experience reachability issues. Between 9:00 p.m. and 10:00 p.m., Helpdesk received four reports from students and faculty that they could not successfully login to OAKS.  IT support staff for OAKS were notified. In order to execute the quickest possible solution, all OAKS servers were rebooted at and OAKS was completely functional again by 10:45 p.m. Overall, OAKS access was intermittent for roughly two hours.

Cause:  A definitive cause is currently unknown. Two of the six OAKS web servers were experiencing memory problems and users who happened to reach those two servers were not able to login. Likewise, users who were sent to one of the normally functional servers could successfully login.  Monitoring of the systems indicated that the problem appeared to worsen over time.  To correct the situation, IT support performed a total restart of OAKS, which cleared up the existing login issues.

Prevention: IT will research how the load balancer (device that distributes traffic across a number of servers) functions and whether it should remove (or can be set to remove) the unresponsive servers from the pool of available servers. Thus directing users only to the responsive web servers where they can login successfully.

Since the possibility is low that all six OAKS web servers would be experiencing a problem at the same time, users should be instructed by Helpdesk to clear their browser cache and try again or try to connect using a different browser. If a user does not clear the browser cache between login attempts to OAKS, the system will repeatedly try to reach the same server.  If that server is having issues, the user will not be able to login even though there may be other web servers that are functioning normally. IT will monitor the web servers more closely for this error and proactively reboot servers that exhibit cache problems until a long-term solution is identified.
