We’re Hiring!

The Graduate School Office is pleased to announce the availability of two graduate assistantships. Both positions are scheduled to start on August 16, 2010. Below are the job descriptions of the two available positions:

Graduate Assistant in the Graduate School Office

DESCRIPTION OF JOB DUTIES: Answers phones and responds to questions regarding graduate programs, registration, graduation, and individual admissions queries.  Greets visitors to the office and disseminates information about the Graduate School. Acts as liaison between the Graduate School Office and other College departments. Operates computer, scanner, and multi-line phone systems.  Enters data into the student information system.  Accesses information for students via telephone calls, e-mails, walk-ins and for office spreadsheets, reports, etc.  Opens incoming mail and distributes mail appropriately.  Answers e-mail inquiries from prospects, students, faculty and staff. Types, files, photocopies and performs other general office duties.  Assembles mail-outs.  Runs errands for the office.  May be assigned to work on special projects with a particular staff member (for example, preparation for graduate orientation, commencement or research for office reporting).

REQUIREMENTS:  A student of the Graduate School of the College of Charleston who will work 20 hours per week, full-time, or 10 hours a week, half-time.  Must be able to maintain confidentiality.  Must take and pass the FERPA test.. Must be well-organized, detail-oriented and able to work in a problem-solving capacity with students and applicants.  Must be able to multi-task in a fast-paced environment.  Must have strong computer skills and be proficient in Microsoft Office, e-mail and the internet.  Must have strong oral and written communication skills.

Scanning Assistant in the Graduate School Office

HOURS PER WEEK: 10 hours per week

SALARY:  $12.00 / hour

DESCRIPTION OF JOB DUTIES: The scanning assistant retains official files for the office, including student files, applicant files, and office files.  The scanning assistant will scan applicant documents, paper files, into FRED and/or BDMS Scanning Databases as they are received in the Graduate School Office, add new applicants into FRED when not already in the system, and combine files for current applicants and students.  Using SIS or BANNER to confirm the identity of persons, the scanning assistant will assure that documents are added to the correct student’s folder as he/she completes or leaves a program of study and receives a degree.  The scanning assistant will work with office staff to maintain the office retention schedule, quality control of scanned documents, and perform other duties as needed.

REQUIREMENTS:  Must be a student of the Graduate School of the College of Charleston and able to work 10 hours per week.  Must be well-organized, exceptionally detail-oriented, and able to maintain focus and concentration in a busy office atmosphere.  Must be able to maintain confidentiality. Must take and pass the FERPA test. Computer skills and proficiency in Microsoft Office, e-mail, and the internet is a plus.  Must have strong oral and written communication skills.
