Inter Office Communication!

For years, office managers and staff have searched for a means to communicate efficiently with each other.  Some use various instant messaging services, while others use Email platforms such as Outlook.  Well, let me let you in on a messaging platform that gives you the best of both worlds.  Microsoft Windows Live Messenger.  Since we using outlook with exchange server, you can install Windows Messenger, and it will fully integrate into our outlook.  You can setup groups who you can mail to, which is a nice utility to use in an office environment.  Using this service is completely free, and can be setup using your College of Charleston provided email account.

How to make a new folder for your Outlook Inbox

(If you have more than one Mailbox, make sure you select the mailbox where you want that folder located.)

                                    

·        Select the desired Inbox

·        Click on the down arrow by the word “new” and then folder

 

·        Type in the desired name of the new folder then click ok

Conficker Virus Alert

Power Saving Tips

Power Saving Tips

Save power & money: check the sleep setting on your computer. Even LCD monitors use power and when they are sitting idle they can be set to power down automatically.

Here’s how you do it:

On Windows XP computers:

  1. Right click anywhere on your wallpaper and choose “properties” from the pop-up menu that appears.
  2. Click “Screen Saver” tab at the top of the next box that appears.
  3. Then click the “Power” button at the bottom of the next window.
  4. Recommended setting for these options are;
    1. Turn off monitor: After 20 mins
    2. Turn off hard disks: After 1 hour
    3. System Standby time: Never
    4. System hibernates: Never
  5. After you have adjusted these settings to your preference click “Ok” and then “Ok” again.

For Macintosh Computers…

  1. Click on the Apple in the top left hand side of the screen.
  2. Click on “System Preferences” in the menu that appears.
  3. Next Click on “Energy Saver” (looks like a light bulb).
  4. Drag the slider bars to the left to lower the sleep times. Recommended settings are:
    1. Put the computer to sleep when inactive for: 30 mins
    2. Put the displays(s) to sleep when the computer is inactive for: 20 mins
  5. Check “Put hard disks to sleep when possible”.

How big is too big?

Do you want to send an email with attachments?  Most email systems have a 10MB size limitation on email.  To ensure that the email will arrive safely, keep it under 10MB.

New Email Filtering System!

Effective immediately, we are replacing the College’s overwhelmed email filtering system with a new solution named BorderWare Security Platform. This system will handle all in and outbound email filtering for the campus. This change has been hastened by ongoing serious problems with the reliability and efficiency of our previous solution. The College receives more than 2,000,000 email messages each day, 95% of which are spam!

This change will be largely invisible to most users. Similar to the old system, you will have 2 methods for reviewing quarantined email messages and taking appropriate action (junk/not spam, modify your list of trusted and blocked senders):

  • Open and check the quarantined email summary report that is sent to you each day or
  • Log in at https://bqs.cofc.edu using your email address (e.g., DoeJ@cofc.edu) and network password.

Because the BorderWare system uses a completely different method to identify spam, we will not be able to reuse any custom settings or whitelists that you may have created in the previous system. Due to the improved technology, it is less likely that such customization will be needed. However, should you want to review any customizations you set in the old system, they will be available at https://mail1.cofc.edu until January 31, 2009.

Make things a little easier sometimes!

 

KEYBOARD SHORTCUTS

 

Aside from increasing productivity, using keyboard shortcuts can make your life a lot easier so you don’t have to jump back and forth between the keyboard and mouse.

 

 

 

 

Here are 5 shortcuts!

 

CTRL + C

Copies the highlighted text for insertion at another point in your document.

CTRL + V

Pastes the most recently copied text at the point of the cursor in your document.

CTRL + Z

Removes the most recent edit to your document  or repeats the most recent edit (such as a paste) up to 20 times

CTRL + Y

Re-edits back one step from using the CTRL + Z combination

CTRL + B

Bolds (or removes the bold) highlighted text.

 

On your dell laptop (excludes 620 or 630) function F2 will turn the wireless card on and off.

(620 & 630 models have an external switch)

Don’t Panic!

If for some reason, when you started up your computer for the first time that day, and you can’t get to files or access the network, don’t panic.  One of the quickest and easiest things to do first is to just restart your computer.  Chances are, that sometimes that will fix the problem.

IT will never request this information via email regardless of how legitimate or genuine it may seem.

When in doubt, call the helpdesk first.
